Before you set another ambitious revenue target for this year, fix these 3 systems first. I work with founders and ops leads who are not short on ambition. They’re short on a backbone that can actually carry that ambition. Here are the 3 systems I’d focus on in Q1 before you add more goals, more hires, or more tools: 1️⃣ A single source of truth for work: Right now, your work probably lives in: inboxes, chats, spreadsheets, sticky notes, people’s heads. Create one place where: - Every client / job / project lives - Every task is owned by a person and a date - Status is obvious at a glance If you can’t answer “What’s on our plate this week?” from one view, that’s system #1. 2️⃣ A real pipeline, not a vibe: Most teams have “leads” scattered across email, spreadsheets, and someone’s memory. You need a simple pipeline where: - Every opportunity has a stage, owner, and next step - Stalled deals are obvious - You can see expected revenue over the next 30–90 days Until then, your sales “strategy” is guesswork. 3️⃣ Basic job / client profitability visibility: You don’t need a full ERP to start. You do need: - Revenue and costs per job / client - A way to tag where time and money are going - A simple view of “which work is actually worth doing?” Otherwise, you’ll work harder this year… on the wrong things. The pattern: - Centralize work - Make the pipeline real - See where money is made / lost Only then does it make sense to talk about more aggressive goals, more headcount, more marketing. This is what we build for clients at Notion Providers: a calm operating system that can carry the year you actually want. Want help building the backbone?
